When Not to Use AI for Work Messages

AI rewriting can save time, but some messages need judgment, permission, or specialist review more than they need smoother wording.

Do Not Use An Unapproved Processing Path

Do not paste confidential work into a cloud tool unless your organization permits that tool and processing path. Check policy, contract, and data-handling requirements.

Wrivio offers separate Cloud and Local paths. In Local mode, submitted rewrite text is processed by the embedded model on the PC after setup. That does not override employer rules or make every use appropriate.

Keep Human Ownership For High-Stakes Decisions

Examples include:

  • Legal advice or contractual interpretation
  • Medical or safety instructions
  • Disciplinary or termination decisions
  • Regulatory statements
  • Financial commitments
  • Crisis communication
  • Messages that materially affect someone’s rights

AI may help an authorized person edit approved wording, but it should not make the decision or replace qualified review.

Avoid AI When Authenticity Is The Point

A condolence, personal apology, sensitive feedback conversation, or message of thanks can lose meaning if the sender outsources the thought itself. Draft it in your own words first. Use editing help only if it preserves your genuine intent.

Do Not Use AI To Hide Uncertainty

Generated prose often sounds confident. If the facts are incomplete, keep that uncertainty visible:

We are still confirming the cause and will update you at 15:00.

Use A Simple Decision Check

Ask:

  1. Am I allowed to process this text here?
  2. Am I qualified and authorized to send the message?
  3. Are the facts verified?
  4. Would a wrong rewrite cause real harm?
  5. Does the recipient deserve my direct personal attention?

If an answer creates doubt, pause and use a safer route.
