How to Write a Vendor Evaluation Summary Decision Makers Can Use

Late in the year is when many teams pick tools for next year: a new CRM, a support platform, an AI writing assistant, a payroll provider. The evaluation itself is the fun part, demos and trials and comparison spreadsheets. The summary is the part that decides the outcome, because the person approving the spend usually reads only that.

A good vendor evaluation summary lets a decision maker understand the choice in five minutes and trust that the work behind it was fair.

Lead With The Recommendation

Decision makers want to know what you think before they know how you got there. Put the recommendation and its cost in the first paragraph.

Before:

Over the past six weeks, the team has conducted a thorough evaluation of several leading solutions in the customer support space, including demos, trials, and reference calls. Below we outline our findings across a range of criteria.

After:

We recommend Vendor B for our support platform: 18,400 per year for 25 seats, starting 1 February. It scored highest on our two most important criteria (email-to-ticket reliability and reporting) and was the only option that met our data residency requirement. Vendor A was a close second and cheaper, but stores data outside the EU.

Show The Criteria And Their Weight

List the criteria you agreed before the evaluation, with their relative importance. This is what makes the process look fair rather than reverse-engineered. Mark which ones are must-haves: a vendor that fails a must-have is out regardless of score.

A simple table works: criteria down the side, vendors across the top, a short note or score in each cell. Keep notes factual: “Exports all ticket data as CSV and via API” rather than “great export features”.

Cover Data And Security Properly

For any tool that will handle customer or employee data, include a short section on where data is stored, who processes it, how long it is kept, and what contract terms apply. A summary with no risks reads like a sales document, and experienced approvers will discount it.

Close With The Decision And Next Steps
