How to Write a Promotion Announcement

PromotionInternal CommunicationLeadership

A promotion announcement should celebrate the person and tell colleagues what changes in practice.

Lead With The News

I am pleased to share that Priya Raman has been promoted to Head of Customer Education, effective 1 September.

Name the new title and date. If the role is interim, say so.

Recognize Specific Contribution

Choose evidence that relates to the new role:

Over the past three years, Priya built our onboarding program, introduced the partner certification path, and helped regional teams reduce duplicated training work.

Avoid exaggerated praise or personal details that the employee has not approved. The announcement should feel generous without becoming a lifetime achievement speech.

Explain The Practical Change

Readers may need to know:

  • What the person now owns
  • Who reports to them
  • Who takes over previous responsibilities
  • Whether contact routes change
  • When the transition begins

For example:

Priya will lead customer education and partner enablement. Product onboarding requests should continue through the existing intake channel during the transition.

Let The Person Review It

Confirm title, pronouns, biography details, and the publication date before sending. Some people prefer a low-key announcement.

Use this prompt:

Rewrite this as a warm, concise promotion announcement. Lead with the person’s name, new title, and effective date. Recognize specific relevant contributions and explain changes to responsibilities or reporting. Preserve facts and avoid exaggerated praise or personal details.

If the promotion creates a handover, publish a clear task handoff separately. For the employee’s own evidence, the performance self-review guide provides a useful structure.
