How to Write a Professional Out-of-Office Message
Most out-of-office messages fail in one of two directions. Either they say almost nothing (“I am away, I will reply when I return”) or they say far too much, listing a full itinerary and three backup contacts nobody will use.
A good auto-reply does a small, specific job. It tells the sender what to expect, gives them a path if the matter is urgent, and sets a clear date so nobody has to guess. Everything else is noise.
Lead With The Dates
The single most useful piece of information is when you are back. Put it first, in a form the reader does not have to decode.
Before:
I am currently unavailable and will respond to your message as soon as I am able upon my return.
After:
I am out of the office until Monday 28 July and will reply after that. For anything urgent before then, contact Priya Shah at priya@example.com.
The second version answers the two questions every sender actually has: when, and what do I do in the meantime.
Name One Contact, Not Five
A wall of backup contacts pushes the decision back onto the sender. Give one name for urgent matters and, if you must, one more for a specific area.

One clear path is worth more than five hedged ones.
Do Not Overshare Your Whereabouts
Your auto-reply goes to everyone who emails you, including strangers and automated systems. It does not need your travel plans, your health, or the reason for your absence.
“Out until 28 July” is complete. “Out until 28 July because I am finally taking that trip to Portugal my wife has been asking about for two years” is a security and privacy leak dressed as friendliness.
Match The Tone To Your Role
A support inbox and a personal work address can sound different. A customer-facing auto-reply should be warmer and reassure the sender that they were not forgotten. An internal one can be brief.
If you are not sure your draft strikes the right note, rewrite it before you set it. A Wrivio Context for auto-replies could say:
