How to Write a Delegation Message Without Micromanaging

Good delegation transfers both work and enough authority to complete it. Bad delegation gives a person a task, then keeps every decision with the manager.

Delegate The Outcome

Start with the result:

Please prepare a recommendation for our customer-support platform by 30 July. Compare the three shortlisted vendors and recommend one against cost, migration effort, and EU data handling.

This is stronger than a list of tiny steps because it leaves room for judgment while defining the destination.

Set Boundaries And Authority

State what the person may decide and what still needs approval:

You can schedule vendor demos directly and involve one support agent in each. Do not share customer data. Bring any annual commitment above €10,000 back for approval.

Constraints prevent surprises. Authority prevents constant permission requests.

Agree On Checkpoints

Checkpoints should manage risk, not reproduce the work:

Send the comparison criteria by Friday so we can catch missing requirements early. After that, the recommendation is yours to run.

For a vague draft, try:

Rewrite this as a delegation message. Lead with the required outcome and deadline. Clarify scope, decision authority, constraints, and checkpoints. Use a trusting, direct tone. Do not add requirements.

Then inspect the diff. If the message explains every keystroke, loosen it. If it gives no definition of success, tighten it.
