A budget approval request is not only a price. It is a short business case with a decision attached.

Lead With The Amount And Purpose

Put the essential request first:

I am requesting approval for EUR 4,800 to renew the customer research platform for twelve months.

Then state when approval is needed and who can approve it. This saves the reader from searching for the actual ask at the end.

Connect Cost To A Concrete Outcome

Explain what the purchase enables:

The renewal keeps access for six researchers and preserves the interview archive used by Product and Support.

Avoid claims such as “this tool will transform productivity” unless you can support them. Operational facts are usually more persuasive than enthusiasm.

Show That You Considered Alternatives

Mention the realistic alternatives and why you do or do not recommend them:

A monthly plan would cost EUR 600 more over the year. Moving the archive to a new platform would avoid renewal, but requires an estimated four days of migration and validation.

Include The Decision Deadline

Tie the deadline to a real event:

If the request can wait, do not manufacture urgency. A credible deadline is more effective than “ASAP.”
