How to Turn Meeting Notes Into Action Items
Meeting notes record what people said. Action items record what will happen. Confusing the two is how a productive conversation produces no visible change.
Find The Verbs That Commit The Team
Scan the notes for decisions and future-tense language: send, review, choose, draft, confirm, test. Turn each into one line with four fields:
Action: Draft the migration plan
Owner: Leon
Due: 22 July
Done when: Reviewed by platform and security leads
If an owner or date was never agreed, label it “unassigned” or “date needed.” Do not invent certainty after the meeting.
Keep Decisions Separate
Actions tell people what to do. Decisions explain the boundaries around that work.
Decision: The first release supports CSV import only. Excel import moves to phase two.
Keeping decisions near the actions prevents the same debate from reopening next week.
Publish Actions Where They Can Move
