Good meeting notes are not a transcript. They are a compact record of what changed because the meeting happened.

Prepare The Page Before The Call

Create headings for:

  • Purpose
  • Decisions
  • Actions
  • Open questions
  • Risks or dependencies
  • Parking lot

Add attendee names and the date. A prepared structure makes it easier to listen for outcomes.

Capture Decisions In Complete Sentences

Write:

The team approved the 21 September launch date.

Not:

Launch date discussion

Include who approved the decision if authority matters.

Make Every Action Testable

Leon will send the revised supplier estimate to Finance by Thursday at 12:00.

An action needs an owner, verb, output, and date. “Follow up on estimate” is too easy to interpret differently.

Mark Uncertainty

Use labels such as:

  • Proposed
  • Confirmed
  • To verify
  • Open

Do not let a suggestion become a decision just because the notes were polished later.

After the meeting, remove conversational fragments and group the outcomes. Use this rewrite instruction:

Rewrite these meeting notes as a concise recap. Separate confirmed decisions, actions with owners and dates, open questions, and parked topics. Preserve uncertainty and exact figures. Do not turn discussion into agreement or assign owners that are not named.
