How to Decline a Job Offer Politely Without Burning Bridges
You have an offer, and you have decided not to take it. Maybe you accepted another role, the salary did not work, or something in the process made you hesitate. Declining feels awkward, especially after the recruiter and hiring manager invested time in you.
It is also completely normal. Recruiters handle declined offers every week. What they remember is how you declined: promptly and graciously, or after a week of silence.
Decline Quickly
Once you have decided, tell them the same day or the next. Every day you wait, they are holding a role open and possibly keeping other candidates waiting. A quick, clear decline is the most respectful thing you can do.
If possible, call the recruiter or hiring manager first, then confirm by email. If a call is not practical, a well-written email is fine.
What To Include
- Thanks for the offer and their time.
- A clear decline, early in the message.
- A brief reason, if you want to give one.
- A warm close that leaves the door open.
How Much To Explain
You do not owe a detailed reason. A short, honest one is courteous:
- “I have accepted another role that is a closer fit for my goals.”
- “After careful thought, I have decided the role is not the right fit for me at this time.”
- “I have decided to stay in my current position.”
If compensation was the issue and you would reconsider at a different number, say so clearly. Otherwise, do not negotiate in a decline email.
A Before And After
Before:
Hi, so I’ve had a think and I’m going to have to say no, got another offer that pays more. Sorry! Thanks anyway.
After:
Dear Ms Alvarez, thank you very much for offering me the position of Senior Analyst, and for the time you and the team spent with me. After careful consideration, I have decided to decline the offer, as I have accepted a role that is a closer fit for my longer-term goals. This was not an easy decision; I was impressed by the team and the work you are doing on supply chain analytics. I hope our paths cross again, and I wish you every success with the role.
The second version declines in the second sentence, gives a polite reason without details that could sour things, and ends warmly.
Declining After Accepting
Withdrawing after you have accepted is harder and can affect your reputation. If you must, do it as soon as possible, by phone first, apologise sincerely, and keep the explanation short. Check whether your acceptance created any contractual obligations.
Declining An Internal Offer
If the offer is for an internal transfer or promotion, talk to the hiring manager in person first. Your relationships continue, so explain your reasoning more fully and thank them for considering you. See how to ask for an internal transfer in writing.
Keep The Relationship
- Connect with the hiring manager and recruiter on LinkedIn if you have not.
- If you know someone who might suit the role, offer to pass it on.
- Do not criticise the company, the offer or the process.
A Context For Declines
A Wrivio Context for declining offers could say:
Rewrite this as a polite, professional email declining a job offer. Gracious and clear, decline within the first two sentences, give only the brief reason in the original, and close warmly. Keep every name, job title and detail exactly as written. Do not add reasons, criticism, negotiation or promises that are not in the original.
Press Ctrl+Shift+Space, paste your draft, and make sure the decline is unambiguous. A vague “I am not sure this is right for me” invites a counteroffer you may not want. See how to write a salary negotiation email if you do want one, and how to respond to a job rejection email for the reverse situation.

Common Questions
Do I have to give a reason for declining a job offer?
No. A brief reason is courteous, but you are not obliged to explain. “After careful consideration, I have decided to decline” is enough.
Should I decline by phone or email?
A phone call followed by a confirming email is ideal. An email alone is acceptable, especially if it is prompt and polite.
Can I mention another offer?
Yes, briefly, without naming the company or the salary unless you choose to.
Will declining hurt my chances of working there later?
Not if you decline promptly and graciously. Many people decline an offer and join the same company years later.
